How to choose a Bali DMC: 9 questions that separate the real ones
Everyone quotes. Fewer can tell you which vehicle fits your hotel, what the rate excludes, or what happens when the group cancels. Ask these nine.
Any Bali DMC will send you a rate sheet. The difference between one that saves you money and one that costs you money shows up in what they know beyond the rate — and you can find that out in nine questions.
1. Which vehicles can reach the hotel I am quoting?
The single most useful thing a Bali DMC knows. A 48-seat coach cannot enter Ubud, Kuta or Kartika Plaza without a police escort, and cannot enter Canggu at all. If your DMC quotes a 48-seater for a Canggu hotel without flagging it, they are quoting from a price list, not from the ground. See our vehicle access guide for the full grid.
2. What does the transport rate exclude?
Toll, parking, entrance tickets, crew tips and driver accommodation are excluded almost everywhere. On a full-day tour with four or five stops, parking alone exceeds the toll. A DMC that answers "nothing, it's all-in" has either not read their own supplier terms or is about to invoice you for it.
3. What is your patwal cost, and how much notice do you need?
Patwal is the police escort large coaches need in restricted areas. It is the difference between a doable and an impossible itinerary for a 40-pax group in Ubud or Kuta — and many suppliers do not publish a rate for it at all. A DMC that can give you a number and a lead time has actually operated large groups.
4. What are your payment terms, and are they the same for every supplier?
They are not. In Bali one operator may want 50% non-refundable seven days before departure with the balance a day before use; another may bill entirely after the service, on a fortnightly cycle. Your exposure if a group collapses is completely different in each case.
5. What is the cancellation ladder?
Ask for it in writing, per service. Transport cancelled one day out can be charged at 50%, same-day at 100%, with the deposit never refunded regardless. Hotels have their own ladder. If nobody can tell you, assume the worst one.
6. When does your contracted rate expire?
A rate sheet with no validity date is a rate that can change under you between quotation and travel. Ask for the contract period in writing. If a supplier prints "period 2025" and it is 2026, that sheet is not a quote — it is a historical document.
7. Can you do Jain, and how far ahead do you need it?
Pure vegetarian is easy in Bali if it is booked ahead. Jain is a real operation — no onion, garlic or root vegetables, and separate preparation. A DMC that says "yes, no problem" without asking when the group lands has not spoken to the kitchen. More on briefing Jain and vegetarian meals.
8. Are your guides Hindi-speaking, or English?
English is Bali's default. Hindi guides exist but are booked separately and run short in peak season. If your group expects Hindi, it must be requested at the same time as the vehicle.
9. Do you sell direct to travellers?
If the answer is yes, you are training your own competitor. A B2B DMC should have no consumer brand and no reason to contact your client.
