Planning a Bali group of 40: the vehicle maths nobody shows you

Forty passengers is the size where Bali group planning stops being arithmetic and starts being geography.

The fleet, by seat slab

Bali suppliers price by pax slab, and each slab maps to a vehicle class:

• 1–5 pax — Avanza, Innova Reborn or Innova Zenix. Same seat count, three comfort tiers, three prices.
• 4–7 and 8–15 pax — Hiace. Note that some suppliers charge the same for the 7-seat and 15-seat configuration, which makes the larger one far better value per seat.
• 16–29 pax — 29-seat medium coach.
• 30–39 pax — 35 and 39-seat coaches.
• 40–48 pax — the big bus. Cheapest cost per seat of the whole fleet.

Why the cheapest option is often wrong

On pure cost per seat, 40 pax belongs on a 48-seater. Two Hiaces cost substantially more than one medium coach for the same heads, so the arithmetic pushes you up the fleet.

Then geography overrules it. If that group is staying in Ubud, Kuta or Kartika Plaza, the 48-seater needs patwal. If they are in Canggu, no coach above 35 seats can reach the hotel at all. The cheapest per-seat vehicle is unusable, and you are back to medium coaches or multiple Hiaces — at a materially different price.

The order of operations

1. Confirm the hotel area.
2. Check the access grid for that area.
3. Pick the largest vehicle that can actually reach it.
4. Split the group across that vehicle class.
5. Add the excluded costs — parking per stop, tips, toll where relevant.

Do it in that order and the quote holds. Do it in reverse — price first, area later — and the operations team discovers the problem after you have already won the business.

One more thing for big groups

Half-day and full-day definitions vary by supplier: one operator's half day is five hours, another's is six; a full day may be ten hours or twelve. On a multi-vehicle group that difference compounds. Confirm the hour count, not just the rate.
